Typically, MFPs are located in areas accessible by multiple people. Unauthorized personnel can potentially access corporate networks when devices are not fully protected. In addition, any information stored on a local desktop computer or a server can be printed without authorization. Meanwhile, at the device, confidential information can be accidentally or even purposely copied from stored documents, taken from the output tray or faxed without authorization.
Unsecured access to a company's stored data makes it vulnerable to being stolen or altered. In the worst case, a user from the outside can obtain confidential information, unleash a Denial of Service (DOS) attack, or even place a virus on the device via a network or a phone line. Through a fax line, or corporate LAN, communications could be intercepted or sent without permission anywhere in the world. Even MFP data stored on a hard disk drive or in memory could be compromised or stolen if not protected.

Sharp MFPs utilize a multi-layered approach for protection—providing exceptional and extensive control over the users, devices, ports, protocols and applications that access Sharp MFPs on your network.

Protect your organization’s critical and confidential data assets with Sharp’s multi-layered approach to security that includes an extensive set of standard security features and optional Data Security Kits (DSKs).
Standard MFP security coupled with optional DSK security protects and controls the major MFP systems and subsystems (print, copy, scan, fax jobs, network settings, memory components, local user interface). The Sharp data encryption method uses the 256*-bit Advanced Encryption Standard (AES) algorithm on all data before it is written to RAM and the hard disk drive. It also provides overwriting routines (up to 7-times overwrite) to ensure that all information is virtually irretrievable by unauthorized users. In addition, an End-Of-Lease feature ensures that all data is erased before returning, or relinquishing control of the MFP.

Threats to data and information can result from unauthorized access to the MFP or printer, or by various forms of malicious network intrusion attempts and hacks.
Sharp MFPs’ intelligent network interface provides an extensive set of access and network control security features designed to prevent these threats as well as document improper device access.
Sharp MFPs offer several ways to authenticate and limit users' access to a device and its functionality. These include account codes, login credentials (using Active Directory or a local user list), and the ability to limit user capabilities with group/feature authorization lists. All user credentials are transferred using a proven combination of Kerberos, Secure Socket Layer (SSL) or Digest-MD5 encryption to help avoid interception.

Sharp MFPs feature an intelligent network interface that can limit access to specific computers on a network by IP or MAC address, and selectively enable or disable any protocol or service port on each device. All communications to and from the MFP can utilize SSL for secure transmission over the network, and most devices also support SMB, IPv6, IPsec, 802.1x and SNMPv3.
Protection of sensitive documents can be assured through Sharp encrypted Adobe PDF files for scanning and printing, or access control and encryption using SSL protocols for scanning, printing, E-mail and setup.

Sharp’s granular audit trail and job log feature provides comprehensive auditing of all user activity. Certain federal regulations parameters, such as “to”, “from”, “when” and “file name” can be logged, reviewed and archived for conformance. The architecture of Sharp MFPs provides a logical separation between the fax telephone line and LAN. It is, therefore, virtually impossible for attackers to gain access to the internal systems of the MFP or the local network.
